Privacy Notice for Applicants

This notice is for everyone who sends us a job application through the form on our careers page or by e-mail. It gives the information required by Art. 13 GDPR and, for roles in Turkey, by Art. 10 of the Turkish data protection law No. 6698 (KVKK).

This company is also the controller for roles at our office in Istanbul.

2. The data we process

• Your name and e-mail address
• The link you give us (LinkedIn profile, portfolio or CV) and what you publish there yourself, your short note, the role
• Interview notes, your work sample and its assessment, an offer
• The page and language of the form, the application number and, briefly and to prevent abuse, your IP address

Please do not send us special categories of personal data such as religion, health or trade union membership. We do not ask for them and do not take them into account.

3. Purpose and legal basis

We process your data to assess your application, talk to you and decide whether to hire you.

• Art. 6(1)(b) GDPR together with Section 26 of the German Federal Data Protection Act (BDSG): steps towards an employment relationship
• Art. 6(1)(f) GDPR: our legitimate interest in an orderly process and in preventing abuse
• For roles in Turkey also Art. 5(2)(c) and (f) KVKK

If you separately ask us to keep your application in our candidate pool for longer, that rests on your consent (Art. 6(1)(a) GDPR, Art. 5(1) KVKK). You can withdraw it at any time.

4. Where the data comes from

From you, through the form, by e-mail and in interviews. We look at public information behind your link only for your application. There is no automated decision: a person reads every application.

5. Recipients

Only the people involved in the hiring decision see your application. These providers process data on our behalf and on our instructions:

• Hosting: Vercel (USA), processing the form
• E-mail delivery: Resend (USA), forwarding the application to our hiring inbox
• The provider of the inbox in which we receive applications

Transfers to the USA are covered by the safeguards described in our privacy policy. Beyond that we share your data with no one, do not sell it and do not use it for advertising.

6. How long we keep it

• If we do not hire you, we delete your application 6 months after the process ends, so we can defend ourselves against possible claims.
• If you agreed to the candidate pool, we keep it for the period stated there.
• If we hire you, the application goes into your personnel file.

7. Your rights

You have the right of access, rectification, erasure, restriction, objection and data portability (Art. 15–21 GDPR) and the corresponding rights under Art. 11 KVKK. Write to care@qante.ai. Your right to complain to a supervisory authority is described in our privacy policy.
